4.7 Manage RBT requisitions

The Requisitions page is where you post, track, and fill open RBT (Registered Behavior Technician) roles. Use it to create requisitions, review matched candidates, schedule interviews, and make hiring decisions.

Who can access this page
Admins — full access: create, edit, close requisitions, and act on candidates.
Directors — read-only access.
All other roles will see an "Access Restricted" message.
The requisitions table
When you open the page, you'll see every requisition for your organization, most recently created first. Use the Status dropdown at the top to filter by Open, Filled, Closed, or All.
Column | Description |

Status | Open (actively recruiting), Filled, or Closed. |
States | U.S. states the requisition covers. |
Created | Creation date and the user who created it. |
Applications | Total candidates matched to this requisition. |
Actions | Edit or close the requisition (admins only). |
Create a new requisition
Click Create Requisition in the top right.
Choose the requisition type:
Generic — open hiring across one or more states or cities, not tied to a specific client.
Linked to a Client — hiring for a specific client. Cities auto-populate from that client's home service location.
Fill in the required fields:
Title (required) — e.g., "RBT — Part Time, Phoenix".
Description (optional) — free-text details about the role.
States (required, generic mode) — one or more U.S. states.
Cities (optional, generic mode) — narrow the geographic match.
Client (required, client mode) — the client this requisition is tied to.
Set matching preferences:
Certification Required — require an active RBT certification.
Gender Preference — Male, Female, Other, or No Preference.
Part-time / Full-time — which availability types should match.
Max Driving Distance — cap matches by miles from the candidate's home.
Max Driving Time — cap matches by drive time in minutes, calculated for a Tuesday 8 AM ET commute.
Book Interview Automatically — when on, qualified candidates have an interview booked without manual confirmation.
Click Save.
Once saved, the matching algorithm starts associating candidates with the requisition automatically.
Review matched candidates
Click any requisition row to expand it. You'll see every candidate matched to that requisition, along with:

Matching | Click Details for a side-by-side breakdown of how the candidate scored on state, city, gender, certification, availability, and distance. |
Interview | Scheduled date/time, or "Pending confirmation". Click the date to jump to the appointment. |
Actions | Hire, Reject, or No-show (admins only). |
Application statuses
Status | Meaning |
|---|---|
Pending | Awaiting review. |
Scheduled | An interview is on the books. |
Accepted | The candidate has been hired. |
Rejected | The candidate was rejected (can be reopened). |
No-show | The candidate did not attend the scheduled interview. |
Hire, reject, or mark no-show
From the expanded candidate panel (admins only):
Hire — Marks the candidate as accepted and ready for onboarding. You can include an optional feedback note.
Reject — Requires a reason of at least 10 characters. This feedback informs future matching.
No-show — Use after a missed interview. You'll be asked to confirm before the status updates.
All actions immediately update the requisition's status counts and refresh the candidate's badge in the table.
Edit or close a requisition
Use the icons in the Actions column (admins only):
Pencil icon — Edit the requisition. The form opens pre-filled; saving re-runs matching against the updated criteria.
X icon — Close the requisition. You'll be asked to confirm. Closed requisitions no longer accept new candidate matches, but historical applications are preserved.
Reopened a closed requisition by mistake? Click the pencil icon, change the status back to Open, and save.
Tips and best practices
Be specific in the title. "RBT — Tucson, PT Afternoons" is far more scannable than "RBT" in a long list.
Use client-linked requisitions for known placements. They auto-narrow geography and matching logic to that household.
Tighten matching gradually. Start with broader criteria (e.g., no driving-time cap) and tighten if low-quality matches overwhelm you.
Check Matching Details before rejecting. The dialog tells you exactly which criterion the candidate missed — sometimes the right call is loosening the requisition, not rejecting the person.
Close filled requisitions promptly. This keeps the matching engine focused on roles you're actively hiring for and keeps the candidate pool clean.
Troubleshooting
Problem | Try this |

"Access Restricted" message on page load | You don't have the Admin or Director role. Ask your org admin to update your role. |
Can't see the Create Requisition button | You're signed in as a Director (read-only). Only Admins can create or edit. |
No candidates appearing under a requisition | Confirm states/cities are set correctly, the certification requirement isn't excluding the pool, and the driving distance cap isn't too restrictive. |
Interview stuck at "Pending confirmation" | Either auto-booking is off, or the candidate hasn't confirmed a slot yet. Open the candidate to reach out manually. |
Closed a requisition by mistake | Click the pencil icon, switch status back to Open, and save. |
