Two Ways to Look at the Staff Schedule
On the Schedule page, staff can switch how the calendar is laid out:
By Clinician: one column per team member. Best for seeing a therapist's day and spotting gaps or double-bookings.
By Clients: one column per client. Best for seeing a client's coverage across the week. Group sessions show up under each client in the group.
The By Clients tab is available to admins, directors, and clinicians. It isn't shown to basic organization users.
What Each Role Sees
The schedule automatically scopes to what your role should see:
Admins and directors: the whole team. Every clinician's column, and every client. They can pick and choose which team members or clients to show.
Clinicians (e.g. BCBAs) can view the team calendar, but the schedule opens on their own column by default. They can add other team members to the view. In By Clients, they see the clients on their own care teams.
RBTs / BTs and basic users see only their own appointments, in a single column. There's no team multi-select for them.
Exactly what a given person sees comes down to the permissions attached to their role, so it can be tuned per org.
Parents See a Separate Schedule
Parents and guardians do not use the staff Schedule page. They have their own Parent Portal with a Patient Schedule view, and they only ever see their own child's appointments.
The parent view is read-only, so they can't create, move, or edit appointments. They can:
See upcoming and past appointments with the time, patient, clinician, and session type.
Switch between grouping by Patient and by Clinician (on desktop week view).
Tap Join Now to enter a telehealth session when it's a virtual appointment.
If a family hasn't started care yet, they'll see "No Appointments Yet" until their child's schedule is built.
