Late session notes: what happens next

Signing a session note late does not just delay some paperwork — it moves your own pay into a later period and pushes your clinic's claim further down the line. This article explains exactly what happens, so "sign your notes" stops being a nag and starts being a number.
The one rule behind all of it
Nothing happens to a session until its note is signed. Your session note is like the clinician / BT's time card.
An unsigned note is invisible to payroll and invisible to billing. The session happened, the appointment is on the calendar, the data is collected — but until you sign, no hours are counted and no claim exists.
What happens to your pay
Billable hours land in the pay period in which the note was signed, not the period the session took place in.

You do not lose the money. It arrives one cycle later. But if you habitually sign a few days late, you are permanently running one pay period behind on part of your income, which is a real cash-flow difference.

What happens to your clinic's payout
Alpaca pays your practice on a biweekly cycle, and inclusion in a payout is based on the note's signature date — the same rule as payroll. A note signed after the period closes moves your clinic's revenue for that session into the next payout too. See 📄 When do I get paid?
So one late note costs three things
Your pay for that session moves a cycle later.
Your clinic's payout for that session moves a cycle later.
The claim's filing window is shorter, and any problem with it has less room to be fixed.
What to do if you are behind
Open your homepage and switch Your work today to the Unfinished tab — that is your outstanding-notes list.
Sign the oldest ones first. They are the ones closest to a filing deadline.

Can a note be moved back into the right period?
Not guaranteed and on a case-by-case basis. Moving work between pay periods changes a period that has often already been reported and paid. If a note genuinely landed in the wrong period, ask your clinic admin to raise it with support via email.
