View your schedule and your hours

This article shows you, as a BT or RBT, how to find your own schedule in Alpaca and how to read your hours totals. If you want to see your pay-related hours and how pay differentials show up, see View your hours and differentials (worker view) instead.
See what you have today
The fastest way to see your day is your Homepage. Open it from Homepage in the left sidebar (it is also the first screen you land on when you log in).
At the top you will see today's date and your name. The Your work today section lists your scheduled sessions for today. From here you can start a scheduled session, or start an ad-hoc one if you need to record a session that was not on your calendar.
Open your full schedule
To see more than just today, open Schedule from the left sidebar. This opens the calendar view for your clinic.
At the top of the schedule you can switch between two views using the By Clinician and By Clients tabs:
By Clinician shows a column per staff member. Select yourself to focus the calendar on just your own appointments.
By Clients shows a column per client.
Each block on the calendar is an appointment. Click a block to open its details, including the client, the time, and the session type.
If you do not see a Schedule option in your sidebar, your account may not have schedule access turned on. Reach out to your clinic administrator.
Read your hours totals
On the Schedule page there is a Schedule Metrics panel that totals up hours for the dates you are viewing. You can change the range with the date picker in that panel, and refresh it at any time.
The panel shows a header reading Hours: Scheduled | Signed, followed by a total number of appointments and two hours numbers. Those hours are also broken down by Billable vs Non-billable, and then further by pay code and session (CPT) code, so you can see where your time went.
Scheduled vs Signed — what each means
Column | What it means |
|---|---|
Scheduled (Scheduled Hours) | The hours that are booked on the calendar, based on each appointment's planned start and end time. This is the plan, whether or not the session has happened yet. |
Signed (Signed Hours) | The hours that come from session notes you have actually completed and signed. This reflects worked and documented time, not just what was planned. |
A simple way to think about it: Scheduled is what is on your calendar, and Signed is what you have finished and signed off. If a session is still coming up, or you have not signed its note yet, it will count toward Scheduled but not yet toward Signed.
See the appointment-by-appointment breakdown
Click Details in the Schedule Metrics panel to open the Aggregated Scheduling Details view. It lists each appointment with its clinician, client, status, time, and both a Scheduled Hours and a Signed Hours column, grouped by billable/non-billable, pay code, and session code. Use it to check which sessions have been signed and which are still outstanding.
Why Signed Hours might be lower than Scheduled
If your Signed total is lower than your Scheduled total, it usually means one of the following:
A session is still in the future, so it has not happened yet.
A session happened but its note is not signed yet. Signing your notes moves those hours into the Signed total.
A session was cancelled. Cancelled appointments are tracked separately and are shown as a count in the metrics panel.
Keeping your notes signed and up to date is the best way to make sure your Signed Hours reflect the work you actually did.
